Automated Pre-Trip Document & Packing Reminder System for a Group Tour Operator

Overview

Built an automated pre-trip reminder system for a group tour operator that sends travelers a personalized checklist of required documents, vaccinations, and packing recommendations specific to their destination and trip dates. Previously, this information was buried in a long welcome PDF that many travelers never fully read, leading to avoidable day-of-departure issues like a missing visa or an unpacked adapter. Reminders are staged at logical intervals before departure — 60 days out for visa and vaccination requirements, a week out for packing — rather than a single overwhelming email. The system pulls destination-specific requirements from a maintained reference table so the operator can update guidance in one place as requirements change. Required documents, vaccinations, and packing guidance for a group tour operator's trips were buried in a long welcome PDF that many travelers never fully read, leading to avoidable day-of-departure issues like a missing visa or unpacked adapter. We built an automated reminder system sending a personalized checklist staged at logical intervals before departure — 60 days out for visas and vaccinations, a week out for packing — pulling destination-specific requirements from a maintained reference table. We reviewed which specific issues came up most often in day-of-departure support calls before designing the staged reminder intervals around those failure points. The reference table was built and validated against the operator's most popular destinations first before covering the full trip catalog. Day-of-departure document and preparation issues dropped significantly, cutting the number of last-minute traveler support calls the operator's small team had to handle.
